The multifaceted role involves project and event management, focusing on professionally managing the CFO’s office. What you will do

  • Ensure the smooth running of the CFO’s day-to-day business by providing confidential administrative support and acting as the primary contact between the CFO, stakeholders, and his thirteen direct reports while demonstrating professionalism and confidentiality in all interactions.
  • Develop and implement effective structures and procedures to manage the CFO’s activities and ensure efficient use of his time; prioritize requests, follow up on deliverables, and determine when action is required.
  • Manage the CFO’s calendar and inbox, coordinate virtual and hybrid meetings and forums via the Teams or Zoom platforms, keep the CFO on track, and ensure he has the information needed for upcoming appointments.
  • Prepare travel arrangements (e.g., flights, train tickets, hotels, car parking, venue bookings).
  • Projects and events: Plan and manage events such as budget weeks, lender presentations, and CFO off-sites, including milestone tracking and budget control; assist with initiatives as assigned by the CFO.
  • Compile briefing materials, meeting agendas, talking points, etc., to assist the CFO in managing financial and fiscal operations; draft/edit correspondence; support the production of presentations, documents, and reports.
  • Maintain and organize financial records, files, and databases, ensuring timely access to information when required.
  • Work closely with other EAs to advance good conduct that enables the business to deliver the best outcomes. 
What you bring | Background, Skills, Aptitude
  • Commercial degree, or B.A. in business administration, or a federal diploma (Management Assistant).
  • C-suite experience needed, ideally having previously supported a CFO or similar in a fast-paced industry. Previous experience working in the finance sector, international law, or management consultancy is preferred.
  • Effective stakeholder management skills to contribute to the successful running of the CFO’s office.
  • Excel at time management, connecting the dots, understanding the big picture, and attention to detail.
  • You should have a «get things done» attitude and take ownership of deliverables, focusing on results.
  • Ability to cut through complexity and effectively prioritize tasks.
  • Strong business acumen and decision-making skills; extending the utmost confidentiality to all tasks.
  • Emotional intelligence and positive energy to build trusted relationships with integrity across the organization.
  • Confident in managing workloads with limited supervision and comfortable working primarily remotely.
  • Technologically proficient with applications necessary to efficiently manage business communications and presentations, including MS Office Suite, Zoom, and Teams.
  • Business fluency in German and English with a flair for written and verbal communication
  • Diligent and conscientious, combined with the ability to work proactively to ensure details are attended.
  • A flexible approach to providing ad hoc out-of-hours assistance.
